PDF Too Large to Upload? How to Reduce It Safely

First find out what's making the PDF big. Pictures can be shrunk safely; text can't, and pretending otherwise gives you a blurry file.

Step 1: what’s making it big?

You can usually tell in a few seconds.

  • Try selecting text in a PDF viewer. If you can’t, every page is a scanned picture. This is the most compressible kind.
  • Look at the pages. A 30-page document with photos on each is big because of the photos.
  • A text-only PDF (a typed report, a form) is already small. If it is still over the limit, compression won’t help much.

Real examples from our tests: a 2 MB research paper (almost all text) only dropped to about 1.7 MB, whereas scanned certificates routinely dropped by half or more. See the results in how to compress a PDF under 500KB.

Step 2: shrink the pictures

Compress PDF re-compresses the pictures inside the file and leaves text, vector graphics, fonts and page sizes untouched. It then re-reads the result and tells you the new size, the page count, the page sizes, and whether the text is still selectable. If the file is already under your limit it is returned exactly as it was.

Choose a mode or enter a target size. If the target is out of reach it stops at a quality floor and tells you, rather than handing you an unreadable file.

Step 3: when compression isn’t enough

Roughly in this order:

  1. Ask the portal if a bigger limit is possible, or whether it takes a different format.
  2. Rebuild from the originals. If you scanned or photographed the pages, Image to PDF builds a PDF under a size limit, keeping the best quality that fits. Fewer pages or smaller pictures help.
  3. Rescan at a lower resolution. A text page doesn’t need extreme resolution to be readable.
  4. Convert pages to pictures as a last resort, via the opt-in after a missed target. Text stops being selectable and may soften.

What stops us

  • Password-protected PDFs can’t be opened. Remove the password in the program that made it, then try again.
  • Very large scanned pages (some archive scans) can take 10 to 30 seconds to decode in the browser. A page of around 120 megapixels may exhaust a phone’s memory.
  • Black-and-white fax-style pictures (JBIG2 or CCITT) are not re-compressed, because JPEG would make them bigger.

Is it safe?

For confidential documents, the processing question matters as much as the size. See are online PDF compressors safe.
